Icon Photographic Materials Group : Call for Committee Members

The Photographic Materials Group is looking for four additional committee members to join our existing team with the purpose of expanding the group's scope and contribution to the field of photographic conservation. Specifically, we are looking for applications for the roles of Social Media Coordinator, Events Assistant, Administrative Assistant, and Treasurer to help us run annual events, advocate for the field, and grow our online presence.
Applications from all over the world are welcome. Every month, the group convenes remotely. We arrange our meetings so that everyone on the committee can attend. We are currently covering Los Angeles (GMT-7), London (GMT+1), and Hong Kong (GMT+8).
Despite being unpaid, these positions are highly valued. As a member of the Committee, you will receive both professional and personal support as we discuss and advance the development of ideas for the Photographic Materials Group. Working on committees is a way to accomplish professional development goals and can have a profound impact on supporting your intentional learning and professional growth. Due to the various responsibilities and interactions involved, you can enhance multiple transferable skills: your ability to communicate, problem-solve, work together to achieve common goals, and develop your leadership and time management. As a committee member, you will have a voice. You will be able to suggest and advise on initiatives that aren't directly related to your role and will have the opportunity to talk about personal projects and our professional growth as individuals around the globe on a monthly basis.

Roles Description
Social Media Coordinator
This role involves working with the Communications Officer to update, maintain and source content for the group’s social media channels, email and blog.
Responsibilities:
- Maintaining communications through the group email and social media channels
- Sourcing content for the blog and social media channels along with the Communications Officer
- Promoting and documenting group events through our social media channels
- Keep up with trends, staying accessible and relevant
Beneficial CPD outcomes:
- Networking within the field of conservation, specifically photographic materials
- Transferable experience volunteering within a heritage organisation
- Space to propose and develop creative and diverse content
Requirements:
- Knowledge and interest in the conservation of cultural heritage
- Ability to create engaging multimedia content
- Good understanding and experience of using social media channels
- Strong writing and storytelling skills
- Ability to work well in a team
Events Assistant
This role involves working with the Events Coordinator to plan and run the group’s events.
Responsibilities:
- Planning and administration for group events, including liaising with the Icon head office team
- Working with the Social Media Co-ordinator to promote and document group events as well as respond to event-related communications
- Assisting in the running of events, in person and/or online
- Assisting with keeping event costs within budget and tracking expenses
Beneficial CPD outcomes:
- Networking within the field of conservation, specifically photographic materials
- Transferable experience volunteering within a heritage organisation
- Attend events created by the group
Requirements:
- Knowledge and interest in the conservation of cultural heritage
- Ability to liaise with external vendors, such as venues, catering services etc
- Strong organisational skills
- Ability to work well in a team
Administrative Assistant
This role involves working with the group’s secretary to maintain the group's general admin.
Responsibilities:
- Plan and schedule regular meetings for the committee
- Keep records/minutes from all committee meetings and follow up with action points
- Working with the committee as a whole to define committee roles and develop hand-over notes for the future of the group
Beneficial CPD outcomes:

- Transferable experience volunteering within a heritage organisation
- Exposure to all different projects carried out by the group
Requirements:
- Knowledge and interest in the conservation of cultural heritage
- Experience using communication software (Zoom, Teams)
- Strong writing skills
- Strong organisational skills
- Ability to work well in a team
Treasurer
This role involves working with the group’s Chair and former Treasurer, overseeing and managing the group’s finances.
Responsibilities:
- Preparing the annual budget with the group Chair to submit to Icon head office
- Authorising expense claims for committee members and payees i.e. speakers and workshop hosts
- Authorising invoices for events i.e. venue fees and catering
- Tracking the budget throughout the year to ensure the group remains in budget
- Contributing to the group’s annual report presented at the AGM
